Best AI Tools for Business (2026): ChatGPT, Claude, Gemini and Copilot Compared
We compare ChatGPT Business, Claude Team, Google Workspace with Gemini and Microsoft 365 Copilot on per-user price, data privacy and fit for a small team.
Most small teams already use AI, usually on personal accounts, with company documents pasted into free chat tools nobody controls. The best AI tools for business fix that: one bill, admin control over who has access, and terms that keep your data out of model training. The question is less “which AI is smartest” than “which one fits the software my team already works in.”
We compared four business AI plans that a team of 5 to 50 people can buy without a sales call, on price per user, privacy terms and how well each fits into daily work. AI pricing changes often, so we checked every price on the vendor’s own site on the date shown.

How we chose
An AI tool for a small business needs to:
- Handle everyday work: drafting emails and proposals, summarizing documents and meetings, and analyzing spreadsheets.
- Work where your team already works, or connect to it, so people actually use it.
- Protect company data, with business terms that exclude your content from model training.
- Give the owner control: central billing, adding and removing users, and spend limits.
- Cost a predictable amount per person, with published prices.
We read each vendor’s pricing page or official help center on the check date. Read more about how we review.

ChatGPT Business (formerly ChatGPT Team) gives a team a shared, centrally managed ChatGPT workspace. Standard seats include custom GPTs, Projects, connected Apps, Company Knowledge, ChatGPT Agent for multi-step tasks and Deep Research for longer research reports, plus ChatGPT Work and Codex.
Which plan to pick: Standard seats for almost everyone. Premium seats cost five times as much and include five times the usage of Standard, with no 5-hour usage limit, so give them only to the one or two people who hit limits. You can mix seat types in one workspace.
Watch out for: usage limits. Seats include a baseline amount of use; beyond that, you buy workspace credits under flexible pricing. Set spend controls before you roll it out.
Claude Team

Claude Team is Anthropic’s plan for small and mid-sized teams. Its strength for a business is context: connectors let Claude search and read your Google Drive, Gmail, Google Calendar, Microsoft 365, Slack and GitHub without manual uploads, and enterprise search pulls answers from across those tools. Team seats also include Claude Code, Cowork, and Claude’s design, slides and document tools.
Which plan to pick: Standard seats, which include more usage than the individual Pro plan. Add Premium seats, with 5 times the usage of a Standard seat, only for heavy users. You can mix seat types.
Watch out for: limits are per person and include a weekly cap. If one person runs out, others are not affected, but that person must wait for the reset or use extra usage, which is billed at API rates.
Disclosure: this guide was drafted with help from an AI model made by Anthropic, the company behind Claude. We ranked Claude on the same published facts as the other tools.

- Business Starter
- $8.40/user/mo (Flexible)
- Business Standard
- Check current US price
- Business Plus
- Check current US price
- Trial
- 14 days
If your business runs on Gmail, Google Workspace is the cheapest way to put AI in front of every employee, because it comes with the email, storage and meetings you are already paying for. Business Starter includes Gemini in Gmail and chat with the Gemini app. Business Standard adds Gemini in Docs, Meet and other apps, expanded access to Gemini Notebook, meeting recordings, 2 TB of pooled storage per user and eSignature.
Which plan to pick: Business Standard. It is the first plan where Gemini works across Docs and Meet as well as Gmail. Business Starter is $8.40 per user per month on Google’s Flexible Plan. Google’s pricing page showed us euros on this check, so confirm the current US price of Standard and Plus before you buy.
Watch out for: promotions. Google advertises introductory prices for new customers on the first 20 users for 12 months, after which standard pricing applies. Budget on the standard rate.
Microsoft 365 Copilot
Best for teams that live in Word, Excel, Outlook and Teams
What we like
- Works inside Word, Excel, PowerPoint, Outlook and Teams
- Built for businesses with up to 300 users
- Bundles with Microsoft 365 Business plans are available
Watch out for
- Requires a Microsoft 365 Business plan, paid separately
- Price shown is for yearly payment
- Bundle prices and offers change; check before you buy
- Copilot Business
- $21/user/mo, paid yearly
- Requires
- Microsoft 365 Business plan
- Team size
- Up to 300 users
- Apps
- Word, Excel, PowerPoint, Outlook, Teams
Microsoft 365 Copilot Business puts AI into the Microsoft apps many small businesses already use every day: drafting in Word and Outlook, analysis in Excel, decks in PowerPoint and meeting help in Teams. Microsoft sells it to businesses with up to 300 users that already have a qualifying Microsoft 365 Business plan.
Which plan to pick: add Copilot Business to the people who spend most of their day in Office documents and email. You do not need it for every user.
Watch out for: total cost. The $21 per user per month is on top of your Microsoft 365 Business subscription. Microsoft’s pricing page also shows a promotional $18 for the first year on annual plans bought between July 1 and December 31, 2026; after that the list price applies. Budget on $21 plus your Microsoft 365 plan.
Which one should you choose?
- Your team works in Gmail and Google Docs: start with Google Workspace Business Standard; you may not need a second AI tool.
- Your team works in Word, Excel and Outlook: add Microsoft 365 Copilot Business for the heaviest document users.
- You want the most capable general assistant for research, analysis and agents: ChatGPT Business.
- You write long documents and want the AI to read your Drive, email and Slack: Claude Team.
Start small: buy seats for the three or four people who will use AI most, set spend limits, and write a one-page policy on what data staff may and may not paste in. Expand once you see which tasks it actually saves time on.

Frequently asked questions
What is the best AI tool for a small business?
For most small teams, the best choice depends on the office suite you already use. If your team lives in Gmail and Google Docs, Google Workspace includes Gemini in its business plans. If you run on Word, Excel and Outlook, Microsoft 365 Copilot Business works inside those apps. If you want the most capable standalone assistant, ChatGPT Business and Claude Team both cost $20 per user per month billed annually.
How much does AI cost per employee?
ChatGPT Business and Claude Team standard seats cost $25 per user per month billed monthly, or $20 billed annually. Microsoft 365 Copilot Business is $21 per user per month paid yearly, on top of a Microsoft 365 Business plan. Google Workspace includes Gemini features in its plans, from $8.40 per user per month on the Flexible Plan.
Do business AI plans train on my company data?
Not by default on the business plans in this guide. OpenAI says it will not train on ChatGPT Business workspace data, and Anthropic says Claude Team does not train on your content by default. Always check the vendor's current business terms before you upload customer or employee data.
Can one person use ChatGPT Business or Claude Team?
No. Both require at least two seats. A solo owner would use an individual plan such as ChatGPT Plus or Claude Pro, which lack the team admin and central billing features.
