Best Free CRM (2026): 5 Free Plans Compared, Limits Included

We compare the free plans from HubSpot, Zoho CRM, Attio, Bigin and Capsule: how many users and contacts each allows, and what the first upgrade costs.

A free CRM is the cheapest way to stop running a business from a spreadsheet and an inbox. The question is not whether a free plan exists, but where its limits sit: how many people can log in, how many contacts you can store, and which feature you will need first that sits behind the paywall. Pick the wrong one and you hit the ceiling in a month, then pay to migrate.

We compared the free plans of five CRMs on those limits, using each vendor’s own pricing page, and noted what the first paid upgrade costs so you know where you are heading.

How we chose

We looked for free plans that a small business could genuinely run on, not trials in disguise. Each one had to:

  • Be free with no time limit, according to the vendor.
  • Cover the core jobs: contacts, a deal pipeline, tasks and notes.
  • Work with your email, or at least let you log emails against contacts.
  • Offer a sensible upgrade path, so you can keep your data when you outgrow the free plan.

We then checked each free plan’s limits and the first paid price on the vendor’s own pricing page. Read more about how we review.

★ Best free CRM overall

HubSpot

Best for small businesses that want free CRM plus free marketing and service tools

Free; Starter $20/seat/moVisit HubSpot

What we like

  • Free for up to 2 users and 1,000 contacts, with no expiration date
  • Includes forms, landing pages, email marketing, live chat, ticketing and a meeting scheduler
  • Deal pipelines, reporting dashboard and the Breeze AI assistant on the free plan
  • Upgrade to paid editions without migrating data

Watch out for

  • 1,000-contact limit is low for a business with a big customer list
  • Free tools carry HubSpot branding
  • Paid tiers get expensive after Starter
Free
2 users, 1,000 contacts
Starter
$20/seat/mo list; new-customer discounts
Professional
From $50/seat/mo
Integrations
2,000+

HubSpot’s free CRM is the most complete free plan here. Beyond contacts, deals and tasks, the free account includes a form builder, landing pages, email marketing, live chat, a shared inbox, ticketing, a meeting scheduler, email tracking and templates, and sales quotes. HubSpot says it is 100% free with no expiration date and no credit card required.

The limits are clear: up to two users and 1,000 contacts. That suits an owner and one colleague who want a tidy customer database and simple marketing from day one.

Which plan to pick: start free. When you need a third user, more contacts or want to remove HubSpot branding, move to Starter, listed at $20 per seat per month. HubSpot also runs new-customer discounts on Starter (from $15 per seat, or a limited-time bundle offer from $7 per seat billed annually, on the pages we checked), so budget on the list price for renewal.

Watch out for: the jump beyond Starter. Professional starts at $50 per seat per month, so plan your upgrade path before the whole company depends on HubSpot.

#2
Best for small teams

Zoho CRM

Best for teams of up to three that want a full CRM without paying

Free; from $14/user/moVisit Zoho CRM

What we like

  • Free edition for up to 3 users
  • Leads, deals, workflows, reports and mobile apps on the free plan
  • Low-cost Standard plan, monthly or annual, no contract
  • Connects to the rest of the Zoho suite

Watch out for

  • More settings to learn than simpler CRMs
  • Free edition stores up to 5,000 records and 10 email templates
  • Faster support needs a paid support plan
Free
Up to 3 users
Standard
$14/user/mo annual, $20 monthly
Professional
$23/user/mo annual, $35 monthly
Contract
None

Zoho CRM’s free edition gives three people a proper CRM: leads, deals, workflows, reports and mobile apps. That extra seat over HubSpot matters for a small office where the owner, a salesperson and an office manager all need access.

When you outgrow it, Standard costs $14 per user per month billed annually, or $20 monthly, and adds multiple pipelines, sales forecasting and more room for records (up to 100,000).

Which plan to pick: Free for up to three users. Standard when you add a fourth person or need more automation.

Watch out for: limits you will not see on the headline. The free edition stores up to 5,000 records across all modules, such as leads, contacts and deals, so check Zoho’s edition comparison before you import a large list.

#3
Most contacts free

Attio

Best for small teams with large contact lists or relationships beyond sales

Free; Plus from $35/seat/moVisit Attio

What we like

  • Free for up to 3 seats and 50,000 records
  • Email and calendar sync on the free plan
  • Builds and enriches contacts automatically from your inbox
  • Flexible data model for deals, partners or investors

Watch out for

  • Paid plans cost more per seat than Zoho or HubSpot Starter
  • Plus is capped at 10 seats
  • Custom objects and email sequences need the Pro plan
  • Free-plan emails carry a "Sent with Attio" footer
Free
3 seats, 50,000 records
Plus
$35/seat/mo annual, $44 monthly
Pro
$79/seat/mo annual, $99 monthly
Trial
14 days of Pro

Attio has by far the most generous record limit of any free plan here: up to 50,000 records for three seats. Once you connect email and calendar, it builds a database of everyone you talk to, so there is little manual data entry to get started.

That makes it a good free choice for an agency, consultancy or B2B business with a long list of contacts but a small team.

Which plan to pick: Free for up to three people. Plus (up to 10 seats, 250,000 records) once you hire.

Watch out for: the price step. Attio’s paid plans cost more per seat than Zoho CRM Standard or HubSpot Starter. Plus is $35 per seat a month billed annually ($44 monthly), so three seats cost $1,260 a year.

#4
Best for a solo owner

Bigin by Zoho CRM

Best for a solo owner who wants a simple pipeline with cheap upgrades

Free; Express $7/user/moVisit Bigin by Zoho CRM

What we like

  • Free plan with one pipeline, contacts, products and activities
  • Built-in telephony and mobile apps
  • No credit card for the 15-day trial; you drop to the free plan afterwards, not a charge
  • One-click migration from Pipedrive, HubSpot, Insightly and Zoho CRM

Watch out for

  • Free plan is limited to 1 user and 500 records
  • Only 3 automations on the free plan
  • The pricing page may show another currency depending on your location
Free
1 user, 500 records
Express
$7/user/mo, billed annually
Premier
$12/user/mo, billed annually
Refund
30 days (monthly), 45 days (annual)

Bigin is Zoho’s lightweight CRM, built around pipelines rather than the long list of modules in Zoho CRM. The free plan gives one user a single pipeline, contact, product and activity management, three automations, built-in telephony, a standard dashboard and apps for iOS, Android and macOS.

It is the right free CRM for a one-person business, such as a freelancer or a trade business owner, who wants a clear view of every job or deal and nothing more.

Which plan to pick: Free while you work alone and have under 500 records. Express at $7 per user per month, billed annually, adds team pipelines, 50,000 records, email and WhatsApp Business integration and bulk email.

Watch out for: the 500-record limit. Bigin counts each contact, company, pipeline record, activity and note as a record, so you reach 500 faster than you might expect.

#5
Simplest free start

Capsule

Best for two-person businesses that want a clean, easy contact manager

Free; paid plans from StarterVisit Capsule

What we like

  • Free plan for 2 users, with contacts, one sales pipeline and custom milestones
  • Send email from your Gmail or Outlook account
  • No setup or onboarding fees; cancel anytime
  • 14-day trial of paid plans with no card

Watch out for

  • Free plan holds only 250 contacts and 5 custom fields
  • Email sync and workflow automation start on the Growth plan
  • Paid plans start at $18 per user a month, billed annually
Free
2 users, 250 contacts
Starter
$18/user/mo (annual), 30,000 contacts
Growth
60,000 contacts, automations
Annual discount
Up to 15%

Capsule is a tidy, easy-to-learn CRM. The free plan covers two users, 250 contacts, five custom fields and one sales pipeline, and lets you send email through your Gmail or Outlook account. It is enough to test whether a CRM will change how you follow up with clients.

Paid plans raise the limits sharply: Starter allows 30,000 contacts and adds email templates, a shared mailbox and integrations with tools like Xero and Zendesk. Growth adds workflow automations, email sync, multiple pipelines and AI features.

Which plan to pick: use the free plan to learn the tool, then move to Starter once you pass 250 contacts.

Watch out for: the 250-contact cap, the lowest here. Starter costs $18 per user a month billed annually, so two people pay $432 a year once they outgrow the free plan.

Which one should you choose?

  • You want the most complete free toolset: HubSpot, if two users and 1,000 contacts are enough.
  • Three people need access: Zoho CRM or Attio.
  • You have a large contact list but a small team: Attio.
  • You work alone and want the cheapest upgrade: Bigin.
  • You just want a clean contact list and pipeline: Capsule.

Before you commit, export a copy of your data from the free plan and check the import works in the paid plan you would move to. A free CRM is only free until you outgrow it.
