Best Payroll Software for Accountants (2026): Partner Programs Compared

We compare Gusto Pro, QuickBooks payroll for ProAdvisors, OnPay and Patriot for accounting firms: multi-client dashboards, partner discounts and revenue share.

For an accounting or bookkeeping firm, payroll software is not a purchase for one business. It is a platform you will run for dozens of clients, each with its own states, pay schedules and quirks. The right choice saves hours every pay period, gives your team one place to see every client’s payroll status, and can turn payroll into a profitable service line through partner discounts or revenue share. The wrong one means logging in and out of client accounts and chasing problems one by one.

We compared the accountant programs of four payroll providers on multi-client management, partner economics and how well they fit into a firm’s existing ledger work.

How we chose

An accounting firm’s payroll platform needs to:

  • Manage many clients from one dashboard, with a view of every upcoming and failed payroll.
  • Give the firm control over access, with permission levels for staff and for clients who run their own payroll.
  • Sync cleanly to the client’s ledger, with line-item mapping to their chart of accounts.
  • Make switching clients easy, including migration of year-to-date payroll history.
  • Reward the firm, through wholesale discounts, revenue share or free payroll for the firm itself.

We read each provider’s partner program page and retail pricing page. Client list prices are US retail prices before partner discounts. Read more about how we review.

Gusto Pro

Free for firmsVisit Gusto Pro

What we like

  • Gusto Pro is free, with one dashboard for onboarding clients, running payroll and tracking compliance
  • Free Gusto Plus payroll and HR for your own firm when you onboard at least one client per year
  • Up to 20% revenue share at higher partner tiers
  • Imports employee details from ADP Run, QuickBooks Online Payroll and QuickBooks Desktop Payroll

Watch out for

  • Company info and past payroll totals still have to be entered by hand when switching

QuickBooks, Xero, FreshBooks

Gusto says more than 23,000 accounting firms use Gusto Pro. The dashboard puts every client’s payroll in one view, with a cross-client task list, compliance alerts, and prompts about opportunities such as workers’ comp, retirement plan mandates and R&D tax credits that you can raise with clients.

The partner program grows with your book. At the start you get the dashboard, training, certifications and migration support. Once your first client joins, your firm gets free payroll and HR, which Gusto’s FAQ describes as free Gusto Plus when you onboard at least one client per year. Larger books unlock up to 20% revenue share, dedicated partner support and a featured listing in Gusto’s Partner Directory.

Which plan to pick: for each client you choose a billing method: client billed with revenue share, client billed with a partner discount, or firm billed, where you pay Gusto and set your own rate. Client plans are Simple ($49 a month plus $6 per person), Plus ($80 plus $12) and Premium ($180 plus $22).

Watch out for: migration effort. Gusto’s Payroll Transfer Automation imports employee details from ADP Run and QuickBooks payroll files, but company information and past payroll totals still need to be entered manually. Gusto Pro partners get onboarding help and free payroll transfers.

Best for QuickBooks firms

QuickBooks payroll (ProAdvisor)

Best for firms whose clients already keep their books in QuickBooks Online

30% off base + 15% off per employeeVisit QuickBooks payroll (ProAdvisor)

What we like

  • Payroll lives inside the client's QuickBooks Online file
  • ProAdvisor discount: 30% off the base subscription and 15% off employee and contractor fees, ongoing
  • Choose firm billing (ProAdvisor discount) or client billing (Direct discount)
  • Revenue share option as an alternative to discounts

Watch out for

  • Direct discount lasts 12 months; only the firm-billed discount is ongoing
  • Per-employee list prices are higher than Gusto Simple or OnPay
  • List prices on Intuit's accountant page and its retail pages can differ; confirm before quoting clients
Workforce Payroll
$50/mo + $7/employee list
Workforce Premium
$88/mo + $13/employee list
Workforce Elite
$134/mo + $17/employee list
ProAdvisor price (Payroll)
$35/mo + $5.95/employee

If most of your clients already use QuickBooks Online, Intuit’s payroll is the path of least resistance: payroll posts straight into the same file you reconcile, and you manage it from Intuit Accountant Suite. Intuit now sells its payroll under the QuickBooks Workforce name, in three tiers: Workforce Payroll, Workforce Premium and Workforce Elite.

The ProAdvisor Preferred Pricing program is Intuit’s only ongoing discount. With the ProAdvisor discount, Intuit bills your firm and you get 30% off the base subscription plus 15% off employee and contractor fees, ongoing. That takes Workforce Payroll from $50 a month plus $7 per employee to $35 plus $5.95. The Direct discount bills the client at 30% off the base for 12 months. A revenue share option gives the client 50% off the first 3 months instead.

Which plan to pick: Workforce Payroll for most clients, on the ProAdvisor discount if you bundle payroll into your fees. Intuit also offers 65% off for 2 years when you move 5 or more clients from Enhanced Payroll for Accountants to QuickBooks Workforce.

Watch out for: list price differences. The QuickBooks Online prices on Intuit’s accountant page did not match its retail pricing page when we checked, so confirm the payroll price in Intuit Accountant Suite before you quote clients.

Best discounts for growing books

OnPay

Best for firms that want simple pricing, free setup and hands-on partner support

10% to 20% off, or revenue shareVisit OnPay

What we like

  • Free payroll for your firm and free client setup on every partner tier
  • Partner discounts rise from 10% to 20% as you add clients, or take revenue share instead
  • OnPay's team sets up clients and enters prior wages for free
  • Customizable QuickBooks Online, QuickBooks Desktop and Xero integrations

Watch out for

  • The discount for 50+ clients was not listed on the partner page
  • HR, time tracking and live HR support are paid add-ons for clients
  • Fewer advisory tools than Gusto Pro
1 to 2 clients
10% discount
3 to 19 clients
15% discount
20 to 49 clients
20% discount
Client list price
$49/mo + $6/worker

OnPay’s partner program is straightforward. Every partner gets free payroll for the firm, free client setup and marketing resources, plus a discount that grows with your book: 10% for 1 to 2 clients, 15% for 3 to 19 and 20% for 20 to 49. Partners can pass the discount to clients or take a revenue share instead, and can have OnPay bill clients or bill them directly.

It suits firms with a mix of client types. OnPay’s single client plan at $49 a month plus $6 per worker includes multi-state payroll, and OnPay says it handles distinct cases such as restaurants, farms and churches. Its accounting integrations sync after every pay run, with custom item mapping and employee-level detail, and the accountant dashboard supports multiple permission levels so you can delegate to staff or hand payroll to clients.

Which plan to pick: join the partner program before you move your first client, so setup and migration are handled by OnPay’s partner team.

Watch out for: client add-ons. HR tools, time tracking and live HR support each add to a client’s bill. The partner page did not list the discount for 50 or more clients, so ask if your book is that large.

Best budget option

Patriot Payroll

Best for small firms serving price-sensitive clients

From $37/mo + $5/worker retailVisit Patriot Payroll

What we like

  • No fees to join the partner program
  • 5% to 30% discounts on all Patriot products, based on active clients
  • Accounting and payroll free for your own firm with 6 or more active clients
  • Free co-branding and free USA-based support by phone, email or chat

Watch out for

  • Fewer multi-client and advisory features than Gusto Pro
  • Patriot's listed accounting integrations are its own software and QuickBooks
  • Exact discount at each client count is not listed publicly
Full Service (retail)
$37/mo + $5/worker
Basic (retail)
$17/mo + $4/worker
Partner discount
5% to 30%
Extra state (partners)
$10/mo

Patriot keeps client payroll cheap, which matters for firms serving very small businesses. Its retail Full Service plan is $37 a month plus $5 per worker, and Basic, where you or your client file the taxes, is $17 plus $4. Partners get 5% to 30% off every Patriot product, including payroll, accounting, time and attendance and HR, with deeper discounts as active clients increase.

Patriot bills your firm at reduced rates, so you can invoice clients at your own fees. Partners also get free expedited direct deposit for approved clients, free co-branding and, with six or more active clients, free accounting and payroll for their own firm.

Which plan to pick: Full Service for clients who want you to hand off tax filing entirely; Basic for clients where your firm files payroll taxes as part of its service.

Watch out for: integrations and scale. If your clients use Xero or another ledger, check how payroll will get into their books before you move them. Firms managing large books may miss Gusto Pro’s cross-client task list and advisory prompts.

Which one should you choose?

  • You want a multi-client platform with advisory tools and revenue share: Gusto Pro.
  • Your clients live in QuickBooks Online: QuickBooks payroll through the ProAdvisor program.
  • You want simple tiered discounts and white-glove setup: OnPay.
  • Your clients are small and price-sensitive: Patriot.

Many firms run two platforms: one default for new clients and a second for clients who arrive with it. Pick one default so your team builds deep expertise, and move clients to it at year end when W-2 history is clean.

Frequently asked questions

What is the best payroll software for accountants?

For most firms, Gusto Pro: it is free, manages every client from one dashboard, gives your firm free Gusto Plus payroll once you onboard a client each year, and pays up to 20% revenue share as your book grows. Firms whose clients are already on QuickBooks Online may prefer Intuit's payroll through the ProAdvisor program.

Do payroll companies pay accountants for referring clients?

Several do. Gusto offers up to 20% revenue share at higher partner tiers. OnPay lets partners choose between passing a discount to clients or taking a revenue share. Intuit offers a revenue share option as an alternative to its ProAdvisor discounts. Check each program's terms, since revenue share and discounts usually cannot be combined on the same client.

Can my firm bill clients for payroll directly?

Yes, with all four providers in this guide. Gusto and OnPay let you choose firm billing or client billing per client. Intuit's ProAdvisor discount bills your firm, while its Direct discount bills the client. Patriot bills your firm at reduced rates so you can invoice clients at your own fees.

Is payroll software free for accounting firms?

The partner programs themselves are free to join. Gusto gives your firm free Gusto Plus payroll and HR when you onboard at least one client a year, OnPay gives partners free payroll for the firm, and Patriot makes its accounting and payroll free for your own firm once you have six or more active clients.
