Best CRM for Accounting Firms (2026): TaxDome, Karbon, Financial Cents and HubSpot

The best CRM for accountants and accounting firms: TaxDome, Karbon and Financial Cents for client work, HubSpot for winning new clients. Prices per seat.

When accountants search for a CRM, most of them are not looking for a sales pipeline. They want to stop chasing clients for bank statements by email, stop tracking 1120-S deadlines in a spreadsheet, and stop rebuilding the same engagement letter every January. That work belongs to practice management software, and the best ones include a CRM for client records as part of the package.

So the first decision for an accounting firm is what kind of tool it needs. A practice management platform runs client work: recurring jobs, deadlines, document requests, a secure client portal, engagement letters and billing. A sales CRM such as HubSpot runs growth: leads, follow-ups and marketing emails to prospects. We compared three practice management platforms with built-in CRMs, plus one sales CRM for firms that market actively, on the jobs a small firm does every week.

Practice management vs CRM: which do you need?

Choose practice management if your pain is the work itself: missed deadlines, clients who do not send documents, partners who cannot see what staff are working on, or unbilled time. TaxDome, Karbon and Financial Cents all keep a client database (the CRM part) and tie every job, request, document and invoice to it.

Add a sales CRM only if you run real marketing: a website that brings in leads, a newsletter, seminars or a referral program you want to track. A sales CRM records where each prospect came from and what happened next. Most small firms that grow by referral do not need one.

How we chose

An accounting firm’s CRM or practice management platform needs to:

  • Keep one record per client, with contacts, entities, notes and history, so anyone on the team can pick up a file.
  • Run recurring work and deadlines: monthly bookkeeping, quarterly estimates and annual returns, created automatically from templates.
  • Collect documents through a secure client portal, with request lists and automatic reminders instead of email attachments.
  • Send proposals and engagement letters that clients can sign online, ideally with billing set up from the signed letter.
  • Bill and get paid, through invoices, recurring billing or payment before release.
  • Price fairly for a small team, including seasonal staff.

TaxDome is the most complete client-facing platform in this guide. Clients get one login, on the web or a mobile app, where they fill in organizers, upload documents against a request list, sign engagement letters and returns (with knowledge-based authentication when you need it), and pay invoices. Your team sees all of it in one client record, alongside jobs that move through pipelines automatically as clients complete their steps.

It also covers the billing side of a firm: proposals with up to three service packages, recurring invoices, time tracking and work in progress, and the option to lock documents until an invoice is paid. For bookkeepers, a Bookkeeping Hub connects to client ledgers so you can send uncategorized transactions to clients for answers; Essentials includes 10 ledger connections, Pro 120 and Business unlimited.

Which plan to pick: Essentials at $800 a year if you work alone. Pro at $1,000 per seat per year for any team, which adds team chat, account roles, IRS transcripts and the ability to add monthly seats for short-term staff at $100 per seat per month. Business at $1,200 adds TaxDome Client Care, where TaxDome’s support team answers your clients’ platform questions, plus faster support. Two- and three-year terms lower the price, to $900 per seat per year for Pro on a 3-year term.

Watch out for: upfront billing. A 4-person firm on Pro pays $4,000 at the start of the year. TaxDome offers installment plans when the invoice exceeds $9,000.

  • Recurring work from templates, scheduled jobs and team dashboards
  • Contact profiles with activity timelines and automated client requests
  • Proposals and engagement letters through Karbon Engagements, without using eSignature credits

  • Monthly billing only for teams of 4 or more

Karbon is built around the way a team actually works: through email. Client emails come into Karbon, where they can be shared, assigned and commented on, and every email, task and job sits on the client’s timeline. Work is created from templates and scheduled, so monthly closes and annual returns appear automatically, and dashboards show who is overloaded and what is late.

On the client side, Karbon sends automated client requests and shares tasks and documents with clients in one workflow. Proposals and engagement letters go out through Karbon Engagements, and Karbon also lists branded engagement letters and upfront payment collection among its features. Karbon’s eSignature credits for other documents come in bundles, from 100 credits for $100.

Which plan to pick: Team for small firms that need shared email, workflow and client requests. Business, which Karbon says most customers choose, for more workflow automation and integrations. Enterprise is quoted for large firms.

Watch out for: firm size and billing terms. Monthly billing is only available for teams of four or more, so a two- or three-person firm will pay annually. At $59 per user per month on Team, a 3-person firm pays $2,124 a year.

Best value for small firms

Financial Cents

Best for solo practitioners and small bookkeeping or tax firms on a budget

From $19/mo (annual)Visit Financial Cents

What we like

  • Solo plan at $19/mo includes client portal, client requests, CRM, proposals, engagement letters and invoicing
  • Workflow with checklists, work templates and a workflow dashboard
  • Tax software integrations (Drake, UltraTax, ProConnect, ProSeries, CCH Axcess) on Scale
  • 14-day free trial, no credit card

Watch out for

  • All plans are a 12-month agreement, even when billed monthly
  • Monthly billing on Team and Scale needs at least 5 users
  • Branded client portal, automatic client follow-ups and Zapier start on Scale
Solo (1 user)
$19/mo annual
Team
$49/user/mo annual, $69 monthly
Scale
$69/user/mo annual, $89 monthly
Month-End Close add-on
$5/client/mo, annual

Financial Cents covers the core practice management jobs at the lowest price here. Even the Solo plan includes workflow and to-do lists, client tasks and requests through a client portal, secure file sharing, a client CRM, time tracking, invoicing, proposals and engagement letters, a QuickBooks Online integration and the option to lock files behind an invoice.

The Team plan adds integrated email and unlimited tags, client groups and custom fields. Scale is where the automation comes in: automatic follow-ups when clients have not completed their tasks, automatically created work, task dependencies, a branded client portal, a shared inbox, profitability reports and integrations with Drake, UltraTax, ProConnect, ProSeries and CCH Axcess.

Which plan to pick: Solo if you work alone. Team at $49 per user per month billed annually for small firms that mainly need shared visibility. Scale at $69 if chasing clients for documents is your biggest time sink, since automatic client follow-ups start there.

Watch out for: the 12-month agreement. Every plan is an annual commitment, and annual billing saves up to 30% over monthly. Month-End Close, for reviewing uncategorized transactions, is a separate add-on at $5 per client per month, billed annually.

HubSpot is here for one job: winning new clients. If your firm runs a website with contact forms, sends a newsletter, hosts webinars or tracks referral partners, HubSpot records every lead, where it came from and what happened next, and lets you follow up automatically. Its free plan is enough for many small firms to start.

It is not a replacement for the three tools above. HubSpot is built for sales and marketing; tax organizers, document request lists and recurring compliance jobs are what practice management platforms are for. Firms that use it typically hand new clients over to their practice management platform once the engagement letter is signed.

Which plan to pick: start free. Move to Starter, listed at $20 per seat per month, when you need more automation, custom properties and support. HubSpot was offering new customers up to 65% off Starter for a limited time when we checked.

Watch out for: duplicate records. Running a sales CRM next to practice management means two client lists. Decide where a contact lives once they become a client, and check before you buy whether your practice management tool connects to HubSpot directly or through Zapier.

What it costs a 3-person firm

At annual list prices for the main team plan, before discounts:

  • Financial Cents Team: 3 × $49 × 12 = $1,764 a year.
  • Karbon Team: 3 × $59 × 12 = $2,124 a year.
  • TaxDome Pro: 3 × $1,000 = $3,000 a year, paid upfront.

The gap narrows when you count what each one replaces. TaxDome includes unlimited e-signatures and document storage, which firms often buy as separate tools; Karbon and Financial Cents charge for some signature types or add-ons. Add up your current portal, e-signature and proposal tools before you compare.

Which one should you choose?

  • Tax-focused firm, many individual clients, heavy document collection: TaxDome Pro.
  • Bookkeeping or advisory team that lives in email and recurring monthly work: Karbon Business.
  • Solo practitioner or small firm watching costs: Financial Cents Solo or Team, moving to Scale for automatic client follow-ups.
  • You market actively and want to track every lead: HubSpot free, alongside one of the above.

All three practice management platforms offer a demo or free trial. Before you sign, move five real clients and one recurring job into the trial and run them through a full cycle: request, upload, review, sign and invoice.

Frequently asked questions

What is the best CRM for accountants?

For most small and mid-sized firms, a practice management platform with a built-in CRM, rather than a sales CRM. TaxDome suits tax-heavy firms that want a client portal, organizers and e-signatures in one system. Karbon suits bookkeeping and advisory teams that run on shared email and recurring work. Financial Cents is the most affordable for small firms. Add HubSpot only if you actively market for new clients.

What is the difference between practice management software and a CRM for accounting firms?

A CRM, in the sales sense, tracks prospects, deals and marketing until someone becomes a client. Accounting practice management software runs the work after that: client records, recurring jobs and deadlines, document requests, a client portal, engagement letters, time and billing. Most practice management platforms include a client CRM, which is enough for many firms.

How much does accounting practice management software cost?

All three platforms we compared price per user. Financial Cents starts at $19 a month for a solo firm on an annual agreement, and $49 per user on its Team plan. Karbon Team is $59 per user per month billed annually or $79 monthly. TaxDome starts at $800 per seat per year for a single user, and $1,000 per seat on Pro.

Can clients upload documents and sign engagement letters in these tools?

Yes. TaxDome and Financial Cents both include a client portal, document requests, e-signatures and proposals with engagement letters. Karbon includes client tasks and document sharing, and sends proposals and engagement letters through Karbon Engagements; other e-signature requests use credits bought in bundles.
