Best Accounting Software for Bookkeepers (2026): 4 Platforms Compared
We compare QuickBooks Online, Xero, Zoho Books and FreshBooks for bookkeepers: multi-client tools, partner discounts, free practice access and client prices.
A bookkeeper chooses accounting software twice: once for the firm, and again for every client. The best accounting software for bookkeepers makes the second choice easy. It should give you one place to see all your clients, let you get into any client file without borrowing their login, reconcile fast, and come with a partner program that pays for itself through free practice tools and client discounts. Most small business owners will use whatever their bookkeeper recommends, so the platform you standardize on shapes your whole workflow.
We compared four platforms on the jobs a bookkeeping practice does every month and on the terms of each vendor’s accountant program.

How we chose
A bookkeeping practice needs its accounting platform to:
- Manage many clients from one place, with a dashboard of every client file and what needs attention.
- Give the firm its own access, through accountant seats or unlimited users, without sharing client logins.
- Make monthly close fast, with bank feeds, rules, reconciliation and clean reports.
- Be affordable for clients, with plans that suit a sole trader and a 20-person company.
- Reward the firm, through free practice software, partner discounts or firm billing.
We read each vendor’s retail pricing page and its accountant or partner program page. Client prices are US retail list prices before promotions. Read more about how we review.
The best accounting software for bookkeepers
QuickBooks Online
Best for US bookkeepers whose clients already use or expect QuickBooks
What we like
- Free accountant seats on every client plan: 2 on Simple Start to Plus, 3 on Advanced
- ProAdvisor discount: 30% off client subscriptions, ongoing, when Intuit bills your firm
- Intuit Accountant Suite gives you one place to add and manage clients
- Multi-company offer: add up to 10 QuickBooks Online Plus companies for $45/mo each for 2 years
Watch out for
- User caps per client plan: 1, 3, 5 or 25
- Class and location tracking starts on Plus ($115/mo)
- List prices on Intuit's accountant page differed from its retail page when we checked
- Simple Start
- $38/mo, 1 user
- Essentials
- $74/mo, 3 users
- Plus
- $115/mo, 5 users
- Advanced
- $275/mo, 25 users
QuickBooks Online is the safe default for a US bookkeeping practice. Most small business clients already use it or have heard of it, and every client plan includes free accountant seats: two on Simple Start, Essentials and Plus, and three on Advanced. Intuit Accountant Suite, which is free for accounting professionals, is where you add clients, manage team access and choose how each client is billed.
The ProAdvisor Preferred Pricing program is Intuit’s only ongoing discount. With the ProAdvisor discount, Intuit bills your firm and you get 30% off client subscriptions for as long as they stay with you, so you can bundle software into a monthly bookkeeping fee. With the Direct discount, the client pays Intuit and gets 30% off for 12 months. A revenue share option is also available.
Which plan to pick: Essentials for most service clients, Plus for clients who need classes, locations, budgets, project profitability or inventory, and Advanced for clients with larger teams or custom permissions.
Watch out for: price confusion. Intuit’s retail pricing page listed Essentials at $74, Plus at $115 and Advanced at $275 when we checked, while its ProAdvisor pricing page showed higher list prices ($85, $140 and $340). Confirm the price in Intuit Accountant Suite before you quote a client. Intuit also lists a free QuickBooks plan, but it does not include accountant access, so it is not a practical plan for bookkeeping clients.
Xero
Best for bookkeepers whose clients need many logins, multiple currencies or strong app connections
What we like
- Unlimited users on every client plan at no extra cost
- Free Xero subscription to run your own practice, for every partner tier
- Xero Partner Hub to manage your client portfolio, plus 24/7 support and a Xero representative
- Practice management for jobs, time and billing from the Silver tier
Watch out for
- Early plan caps clients at 20 invoices and 5 bills a month
- Prices rose on October 1, 2026, for new and existing subscribers
- Partner discount amounts are not published; they grow with your tier
- Early
- $27/mo
- Growing
- $59/mo
- Established
- $97/mo
- Partner tiers
- Bronze, Silver, Gold, Platinum
Xero never charges clients per user, which removes a common friction for bookkeepers: you, your staff, the client and their other advisors can all log in without pushing the client onto a bigger plan. Xero says it has 250,000 accounting and bookkeeping partners worldwide.
The partner program is free to join. Every tier includes a free Xero subscription to run your practice, 24/7 support, a Xero representative, a listing in Xero’s advisor directory, access to Syft Analytics and Xero Partner Hub for managing your client portfolio, tracking staff activity and handling compliance workflows. From the Silver tier, Partner Hub adds practice management for jobs, time and billing. Bronze partners and above are eligible for client subscription discounts that grow with your tier.
Which plan to pick: move clients who send more than 20 invoices a month to Growing at $59. Established at $97 adds multi-currency and project tracking.
Watch out for: Xero raised prices on October 1, 2026, for new and existing subscribers. Update client fees that were based on the old prices.
Zoho Books
Best for bookkeepers serving very small, cost-conscious clients
What we like
- Free plan for clients with under $50K in annual revenue
- Low-cost Standard and Professional plans, monthly or annual
- Partners get free access to 50+ Zoho apps (Zoho One) and a dedicated partner account manager
- Partner store to manage client subscriptions, and free migration help
Watch out for
- Fewer clients and outside advisors know it than QuickBooks or Xero
- Standard includes 3 users
- Partner training and certification is mandatory, and free access depends on program terms
- Free
- Under $50K revenue
- Standard
- $15/mo annual, $20 monthly
- Professional
- $40/mo annual, $50 monthly
- Reports
- 70+ financial reports
Zoho Books is the cheapest complete ledger here. Clients under $50,000 in revenue can use the free plan, and paid plans start at $15 a month billed annually. It covers sales tax tracking, 1099 reporting, audit trails and more than 70 financial reports, and it connects to payment gateways, partner banks and other Zoho apps such as Zoho CRM.
The partner program adds free access to more than 50 Zoho apps through Zoho One, priority support with a dedicated partner account manager, a Partner Directory listing and a partner store for managing client subscriptions. Training and certification are mandatory to become a partner. Zoho’s advisor program agreement ties continued free access to registering clients through the advisor portal, so read it before you rely on the free suite.
Which plan to pick: Free for micro clients, Standard for most small clients, and Professional for clients who need project tracking.
Watch out for: outside collaboration. If a client’s tax preparer or lender expects QuickBooks or Xero exports, check that Zoho Books reports meet their needs.
FreshBooks
Best for bookkeepers with consultant, agency and freelancer clients
What we like
- Clients get unlimited invoices, estimates, time tracking and expenses
- Automated bank import and tax-time reports
- Easy enough that clients keep their invoicing up to date
- 30-day free trial with no credit card
Watch out for
- Lite is limited to 5 billable clients and Plus to 50
- Check support for inventory, classes or multi-entity books before you move a client
- FreshBooks has announced changes to its accountant program; check its current partner terms
- Lite
- $23/mo list
- Plus
- $43/mo list
- Premium
- $70/mo list
- Extra team members
- $11/mo each
FreshBooks is not a bookkeeper’s ledger first; it is an invoicing and time-tracking tool that service businesses enjoy using. That is its value to a bookkeeping practice: clients who bill by time or project keep their invoices, expenses and payments current, which makes month-end work lighter.
It covers unlimited invoices, estimates, recurring billing and late payment reminders, unlimited time and expense tracking, automated bank import and tax-time reports such as profit and loss and sales tax summaries.
Which plan to pick: Lite for clients with five or fewer active customers, Plus for up to 50.
Watch out for: the partner program. When we first checked, FreshBooks said its Accounting Partner Program and Accountant Hub would be replaced by a referral-based partner program from August 31, 2026, while its pricing page still links to the Accounting Partner Program. Check the current terms, and how multi-client access works, before you standardize on FreshBooks.
Which one should you choose?
- Your clients are mostly US small businesses: standardize on QuickBooks Online and join the ProAdvisor program.
- Clients need many logins, or deal in several currencies: Xero.
- Clients are very small and price is the first question: Zoho Books.
- Clients are consultants, agencies or freelancers who bill by project: FreshBooks.
Whichever platform you choose, get certified before you move clients, and set up your firm’s account through the partner program first so every client you add counts toward your tier.

Frequently asked questions
What is the best accounting software for bookkeepers?
For most US bookkeepers, QuickBooks Online, because most small business clients already use it and the ProAdvisor program gives you free practice tools and ongoing client discounts. Xero is the best alternative, with unlimited users on every client plan and a free Xero subscription and Partner Hub for your practice.
Do bookkeepers get accounting software for free?
Usually, yes. Intuit Accountant Suite is free for accounting professionals, Xero gives every partner a free subscription to run their practice, and Zoho gives Zoho Books partners free access to 50+ Zoho apps, subject to its advisor program terms. You normally pay only for client subscriptions, often at a partner discount.
Should a bookkeeping firm standardize on one accounting platform?
Standardizing makes your team faster and your processes repeatable, and it increases partner discounts and tiers. Many firms pick one main platform, usually QuickBooks Online or Xero, and support a second for clients who arrive with it.
How much does accounting software cost for a bookkeeping client?
At US retail list prices: QuickBooks Online from $38 a month (Plus is $115), Xero from $27 (Growing is $59), Zoho Books free under $50K revenue or from $15 a month billed annually, and FreshBooks from $23. Partner discounts can lower these, and some let your firm bill the client directly.
