FreshBooks is built around the way freelancers work: find a client, send an estimate or proposal, track time against the project, invoice, and get paid. Invoices are unlimited and customizable, recurring invoices and late payment reminders are automated, and clients can pay by card, digital wallet or bank transfer. Time tracking and expense tracking are unlimited, and the mobile app tracks mileage.
At tax time, FreshBooks gives you a profit and loss report and a sales tax summary, and automated bank import keeps expenses up to date. FreshBooks also lists accountant access among its features; check which plan includes it.
Which plan to pick: Lite at $23 a month if you have five or fewer active clients. Plus at $43 a month once you pass five; it covers 50 billable clients. Check the pricing page for current first-year promotions, which were running when we checked.
Watch out for: the client limit. It counts active and archived clients, so delete clients you no longer bill to free up space on Lite.

Pro at $19 a month is where Wave becomes real accounting software for a busy freelancer: it imports your bank transactions automatically, merges and categorizes them, captures unlimited receipts, and automates late payment reminders. Card payments on Pro cost 2.9% with no fixed fee for your first 10 transactions each month.
Which plan to pick: Starter while you send a few invoices a month. Pro once manual entry of bank transactions starts to eat your evenings.

Zoho Books gives freelancers full accounting software for free as long as revenue stays under $50,000 a year. The Free plan covers up to 1,000 invoices and 1,000 expenses a year, 50 receipt scans a month and five scheduled reports, which is more than most solo freelancers need.
Once you pass the revenue threshold, Standard at $15 a month (billed annually) raises the limits to 5,000 invoices a year and 200 receipt scans a month and includes 3 users.
Which plan to pick: Free until you reach $50,000 in revenue, then Standard.
Watch out for: project billing. If you bill by project, Zoho’s project features start on the Professional plan at $40 a month billed annually, while FreshBooks includes unlimited time tracking.

Xero makes sense for a freelancer who wants proper books from the start, usually because an accountant prepares their taxes and works in Xero. The Early plan at $25 a month covers the basics for a light workload, and you can add your accountant or a virtual assistant as a user at no extra cost.
Which plan to pick: Early if you send 20 or fewer invoices and pay 5 or fewer bills a month. Growing at $55 a month removes those limits.
Watch out for: the invoice cap and price. A freelancer who invoices weekly will outgrow Early, and Xero states that prices increase from October 1, 2026.
