Best CRM for Freelancers (2026): HoneyBook vs Dubsado vs Bonsai vs Moxie
We compare HoneyBook, Dubsado, Bonsai and Moxie as CRMs for freelancers: leads, proposals, contracts, invoicing, time tracking, client portals and cost.
A CRM for freelancers is not a sales pipeline for a team of reps. It is the system that takes a stranger’s inquiry and turns it into a paid project with as little typing as possible: a lead form on your site, a proposal the client can accept, a contract they sign online, a deposit invoice, then reminders and a place to share files until the work is done. Most freelancers stitch this together from five apps. The tools below do it in one.
We compared four client management tools built for solo service businesses and small studios, on the jobs a freelancer does every week and on what each one costs at list price.

How we chose
A freelancer’s CRM needs to:
- Capture leads with a form on your website and keep every inquiry in one pipeline, so none go unanswered.
- Send proposals that a client can review and accept online.
- Get contracts signed with electronic signatures, without printing anything.
- Invoice and take payment, including deposits, payment plans and automatic reminders.
- Track time if you bill by the hour, and attach those hours to invoices.
- Give clients a portal, a private page where they find files, forms and invoices in one place.
We read each vendor’s pricing page and plan details. Prices are US list prices before promotions. Read more about how we review.
The best CRMs for freelancers
HoneyBook
Best for creative and service freelancers who want clients to book, sign and pay in one step
What we like
- Unlimited clients and projects on every plan
- Proposals that let clients book, sign and pay from a single file
- Free file setup: HoneyBook turns your existing contracts and forms into templates
- 30-day free trial with no card, then a 60-day money-back guarantee
Watch out for
- Starter allows up to 2 live lead forms
- QuickBooks Online sync and removing "Powered by HoneyBook" need Essential
- Card payments carry processing fees (HoneyBook lists them from 2.7% + 10¢)
- Starter
- From $29/mo, billed yearly
- Essential
- Adds QuickBooks, 2 team members
- Premium
- Unlimited team members
- Bank transfer fee
- 1.5%
HoneyBook is built around the client’s side of the experience. You send one interactive file that can hold your services and prices, a contract and an invoice, and the client chooses, signs and pays in one sitting. Every plan includes invoices and payments, proposals and contracts, the full template library, a client portal, a scheduler and lead forms, and HoneyBook’s team will convert your existing documents into templates for free.
Which plan to pick: Starter covers a solo freelancer: unlimited clients and projects, the client portal and up to 2 live lead forms. Move to Essential if you want payments to sync to QuickBooks Online, SMS reminders, up to 10 lead forms, a second team member or no HoneyBook branding. Premium adds unlimited team members, multiple companies and priority support. HoneyBook’s pricing page showed us the $29 starting price but not the Essential and Premium prices, so check those on the page.
Watch out for: two things. Payment processing fees add up on large invoices, so compare card rates with asking for bank transfers (1.5%). And we did not see time tracking in HoneyBook’s plan comparison; if you bill by the hour, check before you buy or pick Bonsai or Moxie.
Dubsado
Best for freelancers with a repeatable process they want to automate step by step
What we like
- Unlimited projects and clients on both plans
- Invoicing with payment plans, client portals and calendar sync on every plan
- Premier automates workflows, scheduling and public proposals
- 21-day free trial of Premier, no card; 3 extra users free
Watch out for
- Starter has 1 active lead capture form and no automated workflows
- Bookkeeping and Zapier integrations are Premier only
- Flexible setup takes longer than HoneyBook's templates
- Starter
- $335/yr
- Premier
- $525/yr
- Extra users
- 3 free; 4 to 10 for $25/mo
- Trial
- 21 days of Premier, no card
Dubsado suits freelancers who already know their process and want software to run it. You build forms, email templates and contracts, then, on Premier, chain them into automated workflows: inquiry received, proposal sent, contract signed, deposit invoiced, questionnaire sent a week before kickoff. Every plan includes email integration, invoicing with payment plans, client portals, calendar connection and email and live chat support.
Which plan to pick: Premier at $525 a year for most freelancers, because automated workflows, scheduling, public proposals, bookkeeping integration and unlimited lead forms are the reasons to choose Dubsado. Starter at $335 a year works if you mainly want forms, invoices and portals and will trigger each step yourself. Annual billing saves the equivalent of two months.
Watch out for: setup time. Dubsado’s flexibility means you build more yourself. Use the 21-day trial, which runs on Premier, to set up one complete workflow before you pay.
Bonsai
Best for consultants, developers and agencies who bill by the hour or against budgets
What we like
- Time tracking on every plan, including the $9 Basic plan
- Hourly and fixed-fee project budgets; time entries and expenses can go on invoices
- Retainer and subscription invoices, plus multi-currency billing
- Premium adds a deals pipeline and QuickBooks, Xero, Zapier and Calendly integrations
Watch out for
- Basic has no invoices, proposals or contracts; those start on Essentials
- Removing Bonsai branding and the deals pipeline need Premium
- Prices are billed annually; check whether your plan is priced per user
- Basic
- $9/mo, billed annually
- Essentials
- $19/mo, billed annually
- Premium
- $29/mo, billed annually
- Trial
- 7 days, full access
Bonsai started as a freelancer tool and now leans toward project management, which makes it the strongest pick here if your income depends on hours. Every plan includes time tracking, and Bonsai’s time features include a billable and non-billable split and timesheet reminders. Invoicing starts on Essentials, and Bonsai’s billing features include attaching time entries and expenses to invoices, retainer and subscription invoices and multi-currency billing; check which plan includes each one you need. Essentials also adds proposals and contracts, forms and questionnaires, a client portal, and income and expense tracking.
Which plan to pick: Essentials at $19 a month billed annually is the real freelancer plan; Basic at $9 covers time and tasks only. Premium at $29 adds a deals pipeline for tracking leads, custom fields, profitability reports, branding removal and integrations with QuickBooks, Xero, Zapier, Calendly and Google.
Watch out for: the lead side. The deals pipeline is a Premium feature, so on Essentials Bonsai is more a project and billing tool than a CRM. Bonsai’s free trial is 7 days, the shortest here, so plan your test before you sign up.
Moxie
Best for solo freelancers who want proposals, contracts, invoicing and time tracking for the lowest price
What we like
- Starter includes proposals, contracts, invoicing, time tracking and a sales pipeline
- Form builder, meeting schedulers and a universal calendar and inbox included
- Pro adds a white-label client portal, custom domain and workflow automation
- Monthly or annual billing; cancel anytime
Watch out for
- Client portal, automations and QuickBooks integration need Pro
- Accounting is described as basic
- Teams plan caps at 5 team members
- Starter
- $120/yr
- Pro
- $240/yr
- Teams
- $385/yr, up to 5 members
- Billing
- Monthly or annual
Moxie packs the most freelancer jobs into its cheapest plan. Starter, at $120 a year, covers client and project management, invoicing and payments, proposals, quotes and contracts, time tracking, a sales pipeline, a form builder, meeting schedulers and a universal calendar and inbox. That is everything on our list except a client portal, for about the price of a lunch each month.
Which plan to pick: Pro at $240 a year if clients should see a portal under your own brand and domain, or if you want workflow automation, a business phone line (US, Canada and UK) or the QuickBooks integration. Starter if you only need to sell and bill. Teams, at $385 a year, adds up to five team members.
Watch out for: the annual figures are the prices Moxie shows when you pay yearly; monthly billing is available and costs more. Moxie also offers location-based and need-based scholarships if the price is a barrier.
Which one should you choose?
- You sell packages and want clients to book, sign and pay in one smooth step: HoneyBook.
- You have a detailed process and want it to run itself: Dubsado on Premier.
- You bill by the hour, against budgets or on retainer: Bonsai on Essentials.
- You want the most for the least, and are just getting organized: Moxie Starter.
Whichever you pick, start by moving your contract, proposal and inquiry form into it, then send yourself a test inquiry and walk it through to a paid invoice.
More for freelancers: portfolio website builders to bring in the inquiries, accounting software for freelancers for invoicing, expenses and tax time, and payroll software for 1 employee. Frequently asked questions
Do freelancers need a CRM?
Once you juggle more than a handful of clients, yes. A freelancer CRM, sometimes called client management software, keeps every inquiry, proposal, contract and invoice for a client in one place, and automates the follow-up that slips when you are busy. The tools in this guide replace a stack of separate apps for forms, e-signatures, invoicing and scheduling.
What is the cheapest CRM for freelancers?
Moxie Starter, at $120 a year, includes proposals, contracts, invoicing, time tracking and a sales pipeline. Bonsai Basic is $9 a month billed annually, but it covers time and task tracking only; invoices, proposals and contracts start on Essentials at $19 a month billed annually.
HoneyBook or Dubsado: which is better?
HoneyBook is quicker to set up, with polished templates, free file setup and a 30-day free trial, and plans start at $29 a month billed yearly. Dubsado costs less per year ($335 on Starter) and is known for detailed workflows, but automated workflows, scheduling and public proposals need the Premier plan at $525 a year.
Can a freelancer CRM replace accounting software?
Usually not. These tools send invoices and take payments, and some track expenses, but a full profit and loss report, bank feeds and tax-ready books are the job of accounting software. HoneyBook Essential, Dubsado Premier, Bonsai Premium and Moxie Pro all connect to QuickBooks; see our freelancer accounting guide for the books side.
