Rental property accounting has one requirement that general accounting software handles badly: every dollar has to be tied to a specific property. Your lender wants a property-level P&L, your tax preparer needs a Schedule E for each unit, and you need to know which property is actually making money. Do that in a spreadsheet or a generic bookkeeping app and year-end becomes a weekend of sorting receipts.

- Import bank and card transactions automatically, with rules to categorize recurring items.
- Produce tax-ready reports, especially Schedule E, and track depreciation.

- Stay cheap for small portfolios, since most landlords own a handful of units.

Stessa is the easiest place for a small landlord to start. The free Essentials plan covers unlimited properties, automatic bank data feeds, manual and mileage expense tracking, basic reports, an accountant tax package, online rent collection with a tenant ledger and rent roll, and leasing tools such as vacancy listings and tenant screening.
The paid plans are inexpensive. Manage adds the Schedule E report, 60+ legal forms and templates, one eSignature a month and priority chat support. Pro adds advanced transaction tracking, project expense tracking for renovations, budgeting and pro-forma analysis, all advanced reports and unlimited receipt scanning.
Which plan to pick: Essentials to get organized. Manage at $12 a month (billed annually) is worth it at tax time for the Schedule E report alone. Choose Pro if you renovate or need budgets.
Watch out for: your accountant’s needs. Stessa is built for landlords rather than accountants. If your CPA wants a full balance sheet with loans and depreciation schedules, check that Stessa’s reports cover it, or compare REI Hub or QuickBooks.

You can open as many free checking and savings accounts as you need, for example one per property or entity, and every transaction is already in the ledger, ready to tag to a property. Rent collection, reminders and late fees run through the same account.
For bookkeeping, the free Core plan tracks income and expenses at the property and entity level, produces cash flow, NOI, rent roll and tenant ledger reports, and includes an accountant tax package with Schedule E reports. Smart adds AI auto-tagging, custom categories, balance sheets with depreciation, cost segregation, 2-day rent deposits and shared access.
Which plan to pick: Core is enough for most small landlords. Try Smart during its 30-day trial if categorizing transactions takes too long.
Watch out for: the banking model. Baselane works best when rent and expenses flow through its accounts. Baselane is a financial technology company, not a bank; banking is provided by Thread Bank.

REI Hub is bookkeeping software built for rentals, and it is closer to what an accountant expects than the free landlord apps. You set up each property and each bank, mortgage, loan or card account, import transactions automatically, and categorize them with matching rules and templates. Reports such as P&L and cash flow by property need no setup, and you can produce a balance sheet and Schedule E for the whole portfolio.
The fixed asset schedule is its standout feature for tax time: it tracks each property’s assets and basis and records depreciation expense by property. It handles single-family and multifamily, long-term and short-term rentals, and flips.
Which plan to pick: price depends only on units. Billing annually costs less than the monthly prices shown here.

QuickBooks Online is the choice when your accountant insists on it, or when your rentals sit inside a business that also does other work, such as a brokerage or construction company. Landlords usually create one class per property so every transaction can be tagged and reports filtered by property.
It is flexible but manual. QuickBooks is not built around tenants and leases, so plan to set up rent, security deposits and the mapping to Schedule E with your accountant.
Which plan to pick: skip Simple Start and Essentials if you want property-level reports; neither includes class tracking. Plus at $115 a month covers up to 40 classes, enough for most small portfolios.
Watch out for: cost. For a landlord with a few doors, Plus costs far more than the rental-specific tools above, which do most of the property work for free or close to it.

Do landlords need special accounting software, or will QuickBooks work?
QuickBooks works, and many accountants prefer it, but you have to set it up for rentals yourself, usually with a class or location per property, and class tracking needs the Plus plan at $115 a month. Rental-specific tools such as Stessa, Baselane and REI Hub track income and expenses by property and produce Schedule E reports without that setup.
What is a Schedule E report?
Schedule E is the IRS form US landlords use to report rental income and expenses for each property. Software that produces a Schedule E report groups your transactions into the form's categories by property, which saves your tax preparer time and reduces the chance of errors.
Can rental accounting software collect rent?
Stessa and Baselane both include online rent collection with automated reminders and late fees. REI Hub focuses on bookkeeping and does not list rent collection on its pricing page. QuickBooks can take payments, but it is not built around tenants and leases.
