Contractors do not go broke on bad jobs they know about. They go broke on jobs that looked profitable until the final invoice. Construction accounting software exists to show you, while the job is still running, whether labor and materials are tracking against the estimate, whether you have billed ahead of or behind the work, and how much retainage the owner is still holding.

General accounting software can do part of that. We compared four options, from QuickBooks on its own to a full construction accounting system, on the jobs a contractor’s office actually has to do.

  • Bill the way construction bills: progress and percentage of completion, time and materials, AIA pay applications and retainage.
  • Report work in progress, including over and under billing, before the job ends.
  • Handle change orders so they flow into budgets and billing.
  • Work with payroll, including certified payroll for prevailing wage jobs.

QuickBooks Online is where most small contractors start, and with the right plan it covers basic job costing. On Plus, you turn on Projects to track income and costs for each job, and employee and subcontractor time can flow into project profitability, with payroll run through QuickBooks Payroll. Advanced adds project estimates and an estimates-versus-actuals report so you can watch the budget while the job runs.

The bigger advantage is people. Almost every construction bookkeeper and CPA knows QuickBooks, and most construction apps, from estimating to field time tracking, connect to it.

Which plan to pick: skip Simple Start and Essentials; they do not include Projects job costing. Plus at $115 a month is the starting point. Choose Advanced at $275 a month if you want estimates versus actuals or need more than five users.

Watch out for: progress billing. QuickBooks on its own is not built for AIA pay applications, retainage or WIP schedules. Once you bill that way, add a tool like Knowify.

Knowify fills the gap between QuickBooks and a full construction ERP. You estimate, write contracts and change orders, and bill in Knowify, including fixed-price jobs billed on percentage of completion, cost-plus and time-and-materials jobs, and AIA G702/G703 pay applications with retainage. Everything syncs both ways with QuickBooks Online, so your bookkeeper keeps working in QuickBooks.

On Advanced, Knowify adds project management and job costing: every clock-in, purchase order and vendor bill is assigned to the right project, phase and cost category, and a real-time WIP view shows whether each job is over- or under-billed. It also supports prevailing wage labor tracking for Davis-Bacon work.

Which plan to pick: Core if you mainly need proposals, contracts and progress or AIA billing. Advanced once you want real job costing and WIP.

Job costing, payroll, billing and reporting live in one system, so a change order entered once updates the over/under WIP schedule immediately, and job cost reports go from totals to detailed breakdowns in a click.

Its payroll is the main reason commercial contractors choose it. Foundation generates certified payroll formats such as DIR, eMars and LCPtracker, and handles union and multistate requirements. Which plan to pick: Foundation quotes by configuration, so ask for a demo and an itemized quote that includes payroll and any mobile time tracking you need.

Xero’s Established plan includes project tracking, which lets you track costs against each job, and it never charges per user, so a foreman, an office manager and an outside bookkeeper can all log in without the bill going up.

It is a good fit for a small contractor who wants basic job tracking without paying for QuickBooks Advanced to get more users.

Which plan to pick: Established at $90 a month is the only Xero plan with project tracking.

Watch out for: construction billing. As with QuickBooks, AIA pay apps and retainage need add-on software, so confirm your add-on supports Xero before you choose it. Also check the price after Xero’s October 1, 2026 increase.

Which one should you choose?

  • You are a small contractor or remodeler with simple billing: QuickBooks Online Plus.
  • You bill on progress or AIA and want to keep QuickBooks: QuickBooks plus Knowify.
  • You do commercial, union or prevailing wage work at scale: Foundation, with a quote.

Whichever you choose, set up a standard list of cost codes before your next job starts, and make sure time, purchases and subcontractor bills are coded to a job as they come in, not at month end.
