Best Construction CRM (2026): Bid Tracking and Follow-Up for Contractors

We compare Followup CRM, Contractor Foreman, Knowify, Buildertrend and Pipedrive for contractors: bid pipelines, estimates, subs and what a team really pays.

Most contractors do not lose work because they priced it wrong. They lose it because the bid went out and nobody followed up, the general contractor’s estimator changed and the new contact never heard from you, or a homeowner’s callback sat in someone’s text messages for a week. A construction CRM is the system that stops that: it holds every lead, estimate and bid in one pipeline, reminds you when to follow up, and remembers who you dealt with at each GC, owner and supplier.

Generic sales software can track deals, but construction adds its own jobs. Bids have due dates and revisions. You invite subcontractors to price parts of the work. And when you win, the estimate should become the job budget and contract, not a spreadsheet someone retypes. We compared five tools contractors commonly use for this, from a dedicated construction CRM to all-in-one platforms and a general pipeline tool, on those jobs and on what a small team actually pays.

How we chose

A contractor’s CRM needs to:

  • Track every bid and estimate in one pipeline, with due dates, amounts and the stage each one is at.
  • Prompt follow-ups so no estimate goes quiet, ideally with automatic reminders or emails.
  • Keep the relationships: general contractors, owners, homeowners, architects and the estimators you deal with at each.
  • Manage subcontractor and supplier contacts, including sending bid invitations and collecting their prices.
  • Hand a won bid to the job without retyping, so the estimate becomes the budget, contract and schedule.
  • Work from the truck, because half your follow-ups happen between job sites.

We checked each vendor’s own pricing page and listed features on October 1, 2026. We did not have accounts with these vendors; where a feature’s plan level was not clear on the vendor’s page, we say so. Read more about how we review.

The best CRM for construction companies

★ Best dedicated construction CRM

Followup CRM

Best for commercial subcontractors and contractors with several estimators bidding a lot of work

$99/user/mo (annual, 5-user min)Visit Followup CRM

What we like

  • Built specifically to track bids and win more work
  • Proposals on every plan
  • Automations and dashboards for following up and reporting on the pipeline
  • Guided onboarding, data migration and team training included in the launch plan
  • 30-day money-back guarantee

Watch out for

  • Annual commitment on every plan, with a 5-user minimum
  • One-time launch plan fee of $2,500 to $10,000
  • A CRM only: scheduling, job costing and billing stay in your other systems
Starter
$99/user/mo prepaid annually ($119 paid monthly)
Professional
$149/user/mo prepaid annually ($179 paid monthly)
Enterprise
$4,000/mo + $125/user
Launch plan
$2,500 Starter, $5,000 Professional

Followup CRM is the only tool in this guide that is purely a construction CRM. Its pricing page describes it plainly: track every bid, follow up on time and win more work. That focus suits commercial subcontractors and specialty trades that send dozens of bids a month to many general contractors and need to see which estimator is winning what.

Which plan to pick: Starter covers most firms. It allows up to 3 teams, 20 automations and 5 dashboards, with two-factor authentication. Professional adds unlimited teams and automations, 20 dashboards and single sign-on, which matters once you have separate divisions or a full sales team.

What it really costs: both plans are annual commitments. You can pay monthly across the year, or prepay and save 20%, which brings Starter from $119 to $99 per user. With the 5-user minimum, the smallest Starter account is $495 a month prepaid, plus the one-time $2,500 launch plan that covers onboarding, data migration and training over 4 to 6 weeks.

Watch out for: the total first-year cost. For a 5-person team on Starter, that is about $8,440 including the launch plan. If you only have one or two people chasing bids, Contractor Foreman or Pipedrive costs far less.

Best value for small contractors

Contractor Foreman

Best for small general and specialty contractors who want leads, bids and jobs in one low-cost system

From $49/mo (annual)Visit Contractor Foreman

What we like

  • Leads Manager tracks where each lead came from, its stage and next steps
  • Opportunities tracks bids before they become projects
  • Bid Management sends bid invitations; vendors can submit bids without creating an account
  • Angi Leads integration brings HomeAdvisor leads straight in
  • 30-day free trial and a 100-day money-back guarantee on annual plans

Watch out for

  • Prices step up by user count: the $49 plan is for 1 user
  • The cheapest plan is only available on annual billing
  • Check which plan includes the lead and bid tools you need
Basic
$49/mo annual, 1 user
Standard
$105/mo annual, up to 3 users
Plus
$166/mo annual, up to 8 users
Pro / Unlimited
$221/mo (15 users) / $332/mo

Contractor Foreman is a full construction management platform with the sales side built in. Leads Manager keeps every inquiry organized with its source, stage and next step. Opportunities lets you manage a bid with the same structure as a project before any work starts: who it is for, what is being bid and where it stands. Bid Management handles the other direction, collecting prices from subcontractors and suppliers: send invitations to bid, see every response in one place and turn the winner into a purchase order or subcontract.

Because estimates, sub-contracts, change orders and AIA-style G702/G703 invoicing live in the same system, a won bid moves into the job without being retyped.

Which plan to pick: choose by headcount. Standard at $105 a month billed annually covers up to 3 users, which suits an owner, an estimator and an office manager. Plus at $166 a month covers up to 8. Monthly billing is also offered at higher rates, starting at $139 a month for Standard.

Watch out for: feature levels. The pricing page lists features plan by plan; confirm that Leads Manager, Opportunities and Bid Management are on the plan you pick during the free trial.

#3
Best for trade contractors on QuickBooks

Knowify

Best for electrical, mechanical, plumbing and other trade contractors who keep their books in QuickBooks

From $99/mo (annual)Visit Knowify

What we like

  • Estimates, proposals and contracts for fixed-price, cost-plus and T&M work
  • Custom Kanban boards with up to ten stages, from first contact to completion
  • Subcontractor management with license and insurance tracking and expiry alerts
  • Two-way sync with QuickBooks Online, plus QuickBooks Desktop integration
  • 100% US-based support by phone, email, chat and screenshare

Watch out for

  • Core includes 1 user; each additional user is $29/month
  • More of a project and billing tool with a sales front end than a full CRM
  • Check which plan includes subcontractor management and advanced permissions
Core
$99/mo billed annually, 1 user
Advanced
$329/mo billed annually, 10 users
Top tier
Unlimited users; quote
Extra users
$29/mo each

Knowify is best known as construction billing software that sits on top of QuickBooks, and we cover it in that role in our construction accounting guide. Its front end works as a practical CRM for trade contractors: you build estimates with cost templates, send proposals and legally binding contracts, and track opportunities on custom Kanban boards that run from initial contact to project completion.

The useful part is what happens after you win. The estimate becomes a phase-by-phase project plan and budget, subcontracts can be created straight from that plan and emailed to your subs, and invoices, including AIA pay apps, sync both ways with QuickBooks. Knowify also tracks subcontractor licenses, insurance and other documents and alerts you before they expire.

Which plan to pick: Core at $99 a month billed annually for a small shop. With three office users it is $157 a month. Advanced, at $329 a month with 10 users, adds project management and job costing tools.

Watch out for: sales depth. Knowify’s pricing page focuses on estimating, project and billing tools rather than sales automation such as follow-up email sequences. If you bid at high volume and need that, check before you buy, or look at Followup CRM.

#4
Best for home builders and remodelers

Buildertrend

Best for established residential builders and remodelers running 5 or more projects a year

What we like

  • Sales tools to track prospects, prioritize leads and send custom email drips
  • Digital contracts to close from inside the platform
  • Client portal and subcontractor portal for the build itself
  • Unlimited users and projects included in the subscription

Watch out for

  • No published prices; you answer questions and book a call for a quote
  • Aimed at more established builders, per Buildertrend itself
  • A full platform to adopt, not a quick CRM add-on

Buildertrend is a construction management platform for home builders, remodelers and specialty contractors, with a sales module that covers the CRM side: tracking prospects from first inquiry to signed contract, prioritizing the more profitable leads, sending custom email drips and creating digital contracts. Once a client signs, the same system runs the build with daily logs, change orders, a client portal and a subcontractor portal.

Which plan to pick: Buildertrend does not publish plan prices. Its pricing page asks a few questions about your business and then books a call to review a custom quote. Every subscription includes unlimited users and projects.

Watch out for: fit and commitment. Buildertrend says it is built for builders who oversee 5 or more projects a year or handle complex multi-phase builds. For a small remodeler doing a handful of jobs, Contractor Foreman covers similar ground with published prices.

#5
Best simple pipeline

Pipedrive

Best for contractors who only need a clear bid pipeline and reminders, at the lowest cost

From $14/seat/mo (annual)Visit Pipedrive

What we like

  • Visual drag-and-drop pipeline that is quick to learn
  • Full email sync, automations and follow-up sequences from Growth
  • Quotes, proposals and contracts with e-signatures on Premium
  • 500+ integrations; 14-day free trial with no card

Watch out for

  • Not built for construction: no estimating, job budgets or subcontractor tools
  • Projects is a paid add-on
  • Prices are per seat, so they rise with every user
Lite
$14/seat/mo, billed annually
Growth
$39/seat/mo, billed annually
Premium
$59/seat/mo, billed annually
Ultimate
$79/seat/mo, billed annually

Pipedrive is a general sales CRM, not a construction tool, but its strength is exactly what many contractors lack: a simple visual pipeline where every bid sits in a column (sent, under review, negotiating, won, lost) and nothing is forgotten. Set up stages that match how you bid and schedule a follow-up activity on every deal.

Which plan to pick: Growth at $39 per seat per month billed annually. It adds full email sync with open and click tracking, automations and follow-up sequences, which is where the time savings are. Premium at $59 adds lead routing, contracts and e-signatures.

Watch out for: the handoff. When you win a deal in Pipedrive, the estimate, budget, schedule and invoices still live in other software. That is fine if you already have estimating and accounting tools you like; if not, an all-in-one such as Contractor Foreman or Knowify avoids the double entry.

Which one should you choose?

  • You bid a high volume of commercial work with several estimators: Followup CRM, if the 5-user minimum and launch fee fit your budget.
  • You are a small contractor and want leads, bids and jobs in one place for the least money: Contractor Foreman.
  • You are a trade contractor who lives in QuickBooks and bills on progress: Knowify.
  • You are an established home builder or remodeler and want one platform for sales and the build: get a quote from Buildertrend.
  • You only need a bid pipeline and follow-up reminders: Pipedrive Growth.

Whichever you choose, set your pipeline stages to match how you actually bid (invited, estimating, submitted, follow-up, won, lost), record why you lost each job, and review the pipeline once a week. Six months of win and loss reasons will tell you more about your pricing than any software feature.

More for construction: accounting software for contractors, including job costing and AIA billing, and construction payroll software with certified payroll options. For general-purpose options, see our best CRM for small business.

Frequently asked questions

What is a construction CRM?

A construction CRM tracks the work you are trying to win: leads, site visits, estimates and bids, follow-ups and the general contractors, owners and homeowners behind them. A good one also hands a won bid straight to the job, so the estimate becomes the budget and contract without retyping it. A generic sales CRM does the tracking but not the handoff.

How much does a CRM for contractors cost?

At list prices, Contractor Foreman starts at $49 a month billed annually for one user, Knowify at $99 a month billed annually, and Pipedrive at $14 per seat per month billed annually. Followup CRM, which is built for commercial bidding, costs $99 per user per month billed annually with a 5-user minimum plus a one-time $2,500 launch fee. Buildertrend quotes each company individually.

Do I need a CRM if I already use construction project management software?

Check what your project software already covers first. Buildertrend, Contractor Foreman and Knowify all include lead or bid tracking alongside jobs, so a small contractor may not need a second system. A separate CRM such as Followup CRM makes sense when you bid a high volume of commercial work and need a full sales pipeline, reporting by estimator and automated follow-ups.

Can I use a regular CRM like Pipedrive for construction?

Yes. Pipedrive is a good fit if you mostly need a clear bid pipeline and reminders, and it is the cheapest per seat. It is not built for construction, so it does not turn a won deal into a job budget, schedule or progress invoice. Most contractors who use it pair it with separate estimating and accounting tools.
