Best CRM for Small Business (2026): 5 Options Compared on Real Cost
We compare HubSpot, Zoho CRM, Pipedrive, Less Annoying CRM and Freshsales for small businesses: free plans, per-user prices and what a 5-person team pays.
Most small businesses do not lose customers because of a bad product. They lose them because a quote was never followed up, a lead sat in someone’s inbox, or the one person who knew the client’s history was on vacation. The best CRM for small business fixes that without turning into a second job: it keeps every contact and conversation in one place, tells you who to call next and costs a sensible amount per person.
We compared five CRMs that publish their prices, on the jobs a team of 2 to 50 people actually does every day, and worked out what each one costs for a small team at list price.

How we chose
A small business needs its CRM to:
- Keep one record per customer, with every email, call, note and deal attached.
- Remind people to follow up, with tasks and a clear view of what is overdue.
- Show the sales pipeline, so the owner can see open deals without asking around.
- Connect to email and calendar, so the team does not log everything by hand.
- Cost a predictable amount per user, with no contract you cannot leave.
We read each vendor’s own pricing page and plan comparison. Prices are US list prices before promotional discounts. Read more about how we review.
The best CRM software for small business
HubSpot
Best for small businesses that want sales, marketing and service in one place
What we like
- Free CRM for up to 2 users and 1,000 contacts, with no credit card
- Starter bundle covers marketing email, sales pipelines, ticketing and a website builder
- Same database from the free tools all the way to enterprise plans
- More than 2,000 apps in the HubSpot Marketplace
Watch out for
- Exceeding Starter limits moves you up to the higher-priced Professional tier
- Professional and Enterprise editions require paid onboarding
- Costs more per seat than Zoho CRM or Freshsales at the entry level
- Free
- Up to 2 users, 1,000 contacts
- Starter Customer Platform
- $20/seat/mo list
- Starter support
- 24/7 email and chat
- Integrations
- 2,000+
HubSpot is our top pick because a small business can start free and never have to switch systems. The free CRM tools cover contacts, companies, deals and tasks. When you need more, the Starter Customer Platform bundles the Starter edition of each HubSpot product: marketing email and landing pages, sales pipelines and meeting scheduling, ticketing, a website builder and payments for US customers.
That breadth is the main reason to choose it. A business that sends newsletters, takes support requests and runs a sales pipeline can do all three from the same contact records instead of paying for three tools.
Which plan to pick: start with the free tools. Move to Starter when you need automation or want to remove HubSpot branding from emails and forms.
Watch out for: the jump to Professional. HubSpot moves you up if you exceed Starter limits such as contacts, seats or email sends, and Professional requires paid onboarding. HubSpot also runs new-customer discounts on Starter (on the pages we checked, from $15 per seat, and a limited-time bundle offer from $7 per seat billed annually), so your first-term price may be lower than the $20 list price. Budget on the list price for renewal.
Zoho CRM
Best for cost-conscious teams that want deep features at a low price
What we like
- Free edition for up to 3 users
- Low per-user price with monthly or annual billing, no contract
- Workflows, multiple pipelines and Gmail and Outlook integration
- Part of a wider suite of Zoho business apps
Watch out for
- More settings to configure than Pipedrive or Less Annoying CRM
- Check which edition includes the tools you need, such as inventory or the QuickBooks integration
- Faster support needs a paid support plan
- Free
- Up to 3 users
- Standard
- $14/user/mo annual, $20 monthly
- Professional
- $23/user/mo annual, $35 monthly
- Contract
- None, monthly or yearly
Zoho CRM packs a lot of features into a low per-user price. The free edition covers up to 3 users with leads, deals, workflow rules, standard reports and mobile apps. Standard, at $14 per user per month billed annually, adds multiple sales pipelines, sales forecasting and custom reports and dashboards. Higher editions add features such as custom modules and Zoho’s Zia AI.
It also connects to the rest of the Zoho suite, including Zoho Books for invoicing and Zoho’s email marketing and help desk tools, which suits a business that wants one vendor for most of its software.
Which plan to pick: start free if you have three people or fewer. Move to Standard when you pass three users, and compare Standard and Professional on Zoho’s feature list before upgrading.
Watch out for: setup time. Zoho CRM is highly configurable, and that takes effort. If you only need a simple pipeline, Zoho also sells a lighter CRM called Bigin.
Pipedrive
Best for small sales teams whose main job is moving deals to close
What we like
- Simple, visual pipeline that new hires learn quickly
- 14-day free trial with full access and no credit card
- Growth plan adds full email sync, automations and sequences
- More than 500 integrations, including Zapier and Zoom
Watch out for
- No free plan
- Email sync and automations need Growth or higher
- Lead capture and e-signature tools are paid add-ons below Premium
- Lite
- $14/seat/mo, billed annually
- Top plan (Ultimate)
- $79/seat/mo, billed annually
- Trial
- 14 days, no card
- Billing
- Per seat
Pipedrive is built around one screen: a board of deals, grouped by stage, that you drag forward as they progress. For a business that sells, such as an agency, a B2B supplier or a trade business quoting jobs, it is simple to set up and easy for a sales team to adopt.
The Lite plan covers leads, deals, contacts and the calendar. Most teams will want Growth, which adds full sync with Gmail, Outlook or your company email, bulk email with open and click tracking, automations and email sequences.
Which plan to pick: Growth for most teams. Lite only works if you are happy logging email by hand.
Watch out for: add-ons. Lead capture (LeadBooster) and contracts with e-signatures come with Premium; on lower plans, tools like these are sold as add-ons, and the Campaigns email marketing add-on costs extra. Pipedrive bills per seat, so remove seats nobody uses. Pipedrive’s pricing page showed us euros on this check, so confirm the US price at checkout.
Less Annoying CRM
Best for owners and small teams who want a simple CRM they will actually use
What we like
- One price, one plan: every feature for $15 per user per month
- No contracts; cancel anytime
- Free email and phone support, even during the trial
- 30-day free trial with no credit card
Watch out for
- Fewer automation and marketing features than HubSpot or Zoho
- No free plan
- Vendor suggests staying below about 50,000 contacts and companies
- Price
- $15/user/mo
- Plans
- One, all features included
- Trial
- 30 days, no card
- Support
- Email and phone, free
Less Annoying CRM does what the name promises. There is one plan, it includes everything, and it costs $15 per user per month plus applicable tax. There are no tiers to compare and no features held back for an upgrade, which makes it easy to budget for and easy to explain to a team that has never used a CRM.
It covers contacts, companies, a pipeline, tasks and a calendar, and support is free by email and phone with real coaches, including while you are still on the free trial. For a service business, a consultant with a couple of assistants or a local firm that just needs to stop losing track of people, that simplicity is the point.
Which plan to pick: there is only one. Start the 30-day trial and import your spreadsheet.
Watch out for: growth. If you later want marketing email, advanced automation or detailed sales forecasting, you will need a separate tool or a bigger CRM. The vendor suggests staying below about 50,000 total contacts and companies.
Freshsales
Best for teams that sell by phone, email and chat and want it all in one CRM
What we like
- Growth plan lists at $9 per user per month, billed annually
- Chat, email and phone channels included on Growth
- Pro adds contact scoring, deal insights and sales sequences
- 21-day free trial of the full CRM
Watch out for
- Branded documents and the AI agent are paid add-ons
- Prices are per user, billed annually at the listed rates
- The main pricing page and the plan comparison page differ on whether a free plan exists
- Growth
- $9/user/mo, billed annually
- Pro
- $39/user/mo, billed annually
- Enterprise
- $59/user/mo, billed annually
- Trial
- 21 days
Freshsales, from Freshworks, has the lowest entry price in this guide and includes chat, email and phone on its entry plan. The Growth plan includes a kanban view, contact lifecycle stages, chat, email and phone, email templates, custom fields and basic workflows.
Pro is where it becomes a proper sales tool, adding contact scoring, deal insights, custom sales activities, territory management and sales sequences. Enterprise adds forecasting insights, field-level permissions, custom modules and audit logs.
Which plan to pick: Growth for a small team that mainly needs contacts, a pipeline and built-in calling. Pro if you run outbound sales with sequences.
Watch out for: the free plan. Freshworks’ plan comparison page lists a free plan for up to 3 users, but its main pricing page showed only paid plans when we checked, so confirm at signup. Branded documents ($19 per user per month) and the Freddy AI Agent ($49 per 100 sessions) cost extra.

Frequently asked questions
What is the best CRM for a small business?
For most small businesses, HubSpot is the safest starting point: free CRM tools, a Starter tier listed at $20 per seat per month and room to grow. If you want the simplest possible tool at a flat price, Less Annoying CRM costs $15 per user per month with every feature included. If you sell through a pipeline, Pipedrive is the easiest to learn.
How much does a CRM cost for a small business?
At list prices, most small-business CRMs cost $9 to $20 per user per month on their entry paid plans. For a 5-person team that is roughly $45 a month on Freshsales Growth (billed annually), $70 on Zoho CRM Standard or Pipedrive Lite (billed annually), $75 on Less Annoying CRM and $100 on HubSpot Starter.
Is there a free CRM for small business?
Yes. HubSpot offers free CRM tools and Zoho CRM is free for up to 3 users. Freshworks also lists a free Freshsales plan for up to 3 users on its plan comparison page. See our guide to the best free CRM for the limits of each free plan.
Do I need a CRM if I already use spreadsheets?
A spreadsheet works until more than one person talks to customers or you start missing follow-ups. A CRM logs emails and calls against each contact, reminds you what to do next and shows every open deal in one place. All five CRMs in this guide can import a spreadsheet.
